The Supplier requirements below apply to all suppliers to Westcott Shared Facilities Limited (WSF) providing materials and services to WSF. Acceptance of a purchase order from WSF is acceptance of these terms and conditions.
These terms and conditions exist because WSF’s suppliers are key to ensuring WSF’s conformity with EN9100, the safety of our products and services and to ensure both quality and ethical behaviour throughout our supply chain.
1. Requirements
WSF’s Purchase Order provides information on the processes, products, and services to be provided including the identification of relevant technical data (e.g., specifications, drawings, process requirements, work instructions) where applicable. The Supplier must follow this technical information.
2. Outsourcing
The Supplier may not outsource or subcontract any portion of the purchase order requirements unless specifically authorized by WSF in writing.
3. Subcontractor flow-down of T&Cs
Should any elements of the purchase order be subcontracted, The Supplier shall flow down these terms and conditions
4. Quality Management System
The Supplier must have a Quality Management System implemented. This system must ensure all goods and services conform to contract requirements whether manufactured or processed by Supplier or procured from Sub-Tier Suppliers.
5. Training
The Supplier shall ensure that employees and people working on its behalf are competent and trained.
6. Calibration
All Inspection Measuring & Test Equipment used by the Supplier during production and final inspection to make a compliance evaluation shall be calibrated to the national standard.
7. Special Processes
The supplier shall provide certifications for all special processes and non-destructive test results performed with each shipment. The certificate shall identify the processor, process used, controlling specification & revision, and the results of test or measurement performed.
8. Control of Drawings & Specifications
Where technical information is provided as part of the Purchase Order, The Supplier shall ensure that the drawings and specification are the relevant revision status specified on the Purchase Order. Should WSF inform The Supplier of any special requirements (e.g. compliance with additional regulations) these must be adhered to by the Supplier.
9. Material Substitution
Materials may not be substituted without written consent from WSF
10. Short Shelf Life Items
Any materials with a limited shelf life must indicate the date of manufacture, lot number and applicable specification on the container. Should the shelf life be less than 75% of the product life remaining, this must be disclosed to WSF and agreed in writing prior to delivery.
11. Changes in Location, processes or products
The Supplier shall notify WSF of intended or actual changes that may affect the quality of delivered goods and services.
12. Nonconforming elements
Should any products, materials or processes be non-conforming the Supplier shall obtain WSF’s prior written approval for their use or disposition.
13. Counterfeit Parts
The Supplier shall certify that only new and authentic materials are used.
14. Test Specimens
The Supplier must, on request of WSF, provide test specimens for design approval, inspection, verification, investigation, quality assurance or auditing purposes.
15. Record Retention
The Supplier shall maintain records of inspections, tests, and process delivered. Unless specified elsewhere, these shall be stored electronically, with back up in a format which remains available to WSF for a minimum of seven (7) years.
16. Right of Access
WSF, its customers, and regulatory authorities shall be granted the right of access to all applicable areas of the Supplier’s facilities, and access to appropriate records, to ensure conformance.
17. Review
WSF will review suppliers regularly to ensure conformance with our standards. Suppliers who do not meet WSF’s standards will be removed from our approved suppliers list.
18. Confidentiality
The Supplier shall hold all information received from WSF confidentially and should there be a need to disclose information to a third-party, this must be agreed in writing by WSF.
19. Language
All information must be available in the English language.
